Privacy Policy

botthms.Ready (“the app”) is a wellness and readiness platform for school rugby programmes, operated by Botthms Pitchside (Pty) Ltd (“botthms”, “we”, “us”), a South African company. This policy explains what personal information we collect, why, and the choices available to players, parents and school staff. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA).
Who the app is for
botthms.Ready is provided through schools and clubs. Player accounts are created by the school’s coaching staff; parents and guardians join through an invite linked to their child. The app is designed for players aged 14 to 18, used with the knowledge and involvement of their school and their parents or guardians. We do not offer public sign-up and we do not advertise in the app.
Information we collect
- Account details— name, email address, school, team and playing position, and an optional profile photo.
- Daily wellness check-ins— short self-ratings of sleep, energy, mood, stress and muscle soreness.
- Body and training information— areas of soreness or injury a player chooses to flag, training session effort ratings, and readiness scores the app calculates from these.
- Device information— a push notification token and platform (iOS or Android) so reminders and updates can be delivered.
- Basic usage events— which screens are used, to keep the app working well. These are not used for advertising.
How we use it
- To show players their own readiness and wellbeing trends.
- To give the school’s coaching and medical staff a view of squad readiness, and to alert them when a player flags pain or a possible injury.
- To keep parents and guardians informed about their own child, including when a coach has seen and responded to something their child flagged.
- To send check-in reminders and safety-related notifications.
We do not sell personal information. We do not use it for advertising or profiling beyond the wellness features described here, and we do not track users across other companies’ apps or websites.
Who can see a player’s information
- The player themselves.
- Coaching, medical and administrative staff at the player’s own school.
- The player’s linked parents or guardians.
- A small botthms operations team, for support and safety purposes only.
Service providers
We use a small number of processors to run the service: Supabase (database and authentication hosting), Expo (push notification delivery) and Resend (transactional email). They process data on our instructions and do not use it for their own purposes. Data may be hosted on servers outside South Africa; where that happens we rely on providers with safeguards consistent with POPIA.
How long we keep it
Wellness information is kept while the player’s account is active so trends and baselines work. If an account is deleted, the personal information described above is permanently removed. Schools may separately retain their own medical or safeguarding records as required of them.
Deleting your account
Players and parents can delete their own account at any time inside the app (Profile → Delete my account, or Home → Delete my account for parents). This permanently removes the account, check-in history, body reports, device tokens and profile photo. You can also email us and we will do it for you.
Your rights
Under POPIA you may ask for access to, correction of, or deletion of your personal information, or object to processing. Contact us at ready@botthms.co.za. You may also lodge a complaint with the Information Regulator (South Africa).
Security
Access is protected by authenticated accounts with role-based permissions: staff only see players at their own school, and parents only see their own children. Data is encrypted in transit.
Changes
If we make material changes to this policy we will update this page and note the new effective date above.
